1. Verify Spreadsheet Completeness
- Carefully review the spreadsheet to ensure all required information has been added.
- If any details are missing or unclear, promptly reach out to the requester for clarification.
2. Spot Check for Inactive Sites
- Perform a spot check to ensure there are no:
- Dormant sites
- Mobilising sites
- Flag any discrepancies or unexpected entries before proceeding.
3. Client Introduction
- Use the client introduction macro to introduce yourself to the client.
- Confirm the client's awareness and availability regarding the upcoming key-checks.
4. Service Partner Introduction
- Send an introduction email to the SP using the SP macro.
- Confirm contact details and availability for coordination.
5. Confirm and Book Jobs on CHASE
- Once all dates are agreed:
- Book each job on CHASE- (Key Check: On-demand) (ODMAKC)
- Double-check pricing has been correctly set for the job on contract level for both client and SP.
- Raise any discrepancies with AM or requester.
6. Follow-Up with SP
- Set reminders to follow up with SPs to ensure jobs are progressing as planned.
- Use the control team to help with chasing SPs to ensure jobs are being attended. (e.g. message to be posted on the control channel regarding jobs)
7. Post-Key Check Follow-Up & Reporting
• After each key check job has been completed, review the SP’s feedback or completion report.
• Record outcomes of all key checks performed.
In your report to the requester, include:
- ✅ Successful key checks – Sites where access was confirmed, and no issues were identified.
- ❌ Failed key checks – Sites where access could not be verified, keys were missing, or any other issue occurred.
- Include a brief note for each failure, specifying the reason and any recommended next steps.
• Update the requester via relevant slack channel ensuring all outcomes are documented.
